Equipment Condition Compliance

The PUWER Regulations require Employers to carry out checks and maintenance of equipment to ensure they are safe to use.

In partnership with CheckedSafe, we offer a digital solution to carrying out equipment checks and the reporting and management of defects and repairs.

Our system provides templates to allow any type of plant and equipment to be checked using a mobile app and full compliance maintained.  Typical checks include:

    Checkedsafe uses the GPS on the driver’s mobile device to pin point their location when they carry out the daily walk around check. The map location is included in the resulting report.

  • Bespoke Checklist

    We have several DVSA recommended checklist’s however, all checks can be made bespoke. In fact, a checklist can be created for any vehicle or piece of equipment.

  • No Signal-No Problem

    Checks can be conducted regardless of wi-fi connection or phone signal. All checks are stored on the device and uploaded automatically to the database when the driver is in signal area.

  • Platform Availability

    Designed for Android and Apple mobile devices, our system also runs on tablet (Android) and iPads and is also available on the Tom Tom platform.

  •  Monitor Movement

    We use the mobile device’s motion sensors to track the driver’s movements as they undertake the check, which ensures that the check is accurately being completed and you can see the driver moving around the vehicle.

  • Tamper Proof

    Once data is recorded on the App, it cannot be altered in any way as it is a fully secured service.

Pre-Use Checks

CheckedSafe replaces the paper based daily vehicle check by allowing drivers to complete a Vehicle First User or Vehicle Pre-use check via an App on their smart phone. This improves the efficiency of the check process. Once submitted the check results are sent in real time via email and are viewable on the CheckedSafe Workforce Management (CWM) suite.

Effective management of work-related safety helps reduce risk no matter what size of your organisation. As part of managing that risk organisations are required to ensure that equipment is in a safe and fit condition for use and the simple way of doing this is to ensure that daily vehicle checks are carried out.

Whilst it is possible to carry out daily vehicle checks on paper it is difficult to manage and cumbersome.

The CheckedSafe solution solves this problem. The system allows real time reporting of defects, immediate notifications, end to end audit trail and a trend analysis for all the fleet. The CheckedSafe App is simple to use for drivers of any IT ability and once the check is synchronised to the back office, our comprehensive system allows the Transport manager or Plant Manager to utilise that data to manage their fleet effectively and efficiently.

Daily Walk Around Checks

Checkedsafe DVSA Vehicle compliance App digitises the vehicle defect card by allowing drivers to complete a driver daily walk around check from their smart phone. Historically, all previous checks had to be completed manually, which is time consuming and not to mention expensive. Our Vehicle compliance App is simply to use and all the checks are separated into Inspection categories for ease.

This allows the driver carrying out the inspection to speed up the process and submit the results in real time from the App. Drivers can also add detailed notes regarding faults and the actions they took to correct them. Once the check is finished, the report is sent and viewable on the Workforce Management(CWM) suite.

All failed vehicle compliance checks will automatically generate a report which will be sent to your line manager or administrator for inspection and guidance. The CWM suite will automatically store the recorded data which can be downloaded in PDF or excel format for further analysis and KPI.

In Service Defect Reporting

Unfortunately sometimes incidents occur during service. This is called a vehicle In Service Defect which could be a breakdown, traffic congestion and passenger incidents all of which can result in a delayed service and possible financial penalties. The In-service defect App allows the capture of contemporaneous data relating to the incident that can be immediately reported back to the designated responsible person

This report is useful for:

  • Providing evidence in relation to any defect
  • Providing evidence of the cause of the incident
  • Pinpointing the location of the incident
  • Providing data analysis of hot spots for incidents
  • Provides comfort for the driver and operator due to the contemporaneous reporting of issues

Accident Reporting

The vehicle accident part of the App is similar to the old paper based “bump card”. However unlike the bump card the App collects the data contemporaneously including photographs, location, date and time (stamped) and details of all parties to the accident. As soon as the information is collected and submitted via the App the designated responsible person obtains all of the information captured by the driver moments ago at the accident scene.

This means a snapshot of the moment in time of when the accident occurred is preserved for as long as is required. On receipt of the report, the designated responsible person can either contact the driver whilst at the scene for further information or visit the scene themselves if appropriate.

The report can be sent to whoever the operator deems appropriate whether that be their own in house claims department or their insurance broker/ insurance underwriter.

Equipment Management

Once your transport company is set up on the Checkedsafe Workforce Management (CWM) suite, your equipment managers will be given administration rights and will be able to access the CWM online portal 24/7,  which enables then to add, change or delete staff, vehicles and equipment. You will be able to instantly see the Pre-Use and Daily Walk Around checks as well as In-service defect and the Accident reports.

All data will be held for a minimum period that is in line with the current legal framework (currently 15 months but in reality we will hold the data for as long as required).
